BACKGROUND

When the Chief Data Officer of the Commonwealth of Virginia recognized a need to reduce the amount of time spent manually downloading clinic reports from the web application system housing COVID-19 vaccine registrations and transferring those reports securely into a data repository for future processing, they engaged the team at Amplitude9 to facilitate the implementation of an automation platform and develop the automation.

Before the RPA platform was deployed, the vaccine clinic management platform did not allow automated access to reporting data through APIs or database connections. The only access provided was a graphical user interface where an employee needed to log in and manually create the report. In many cases, employees must manually generate the vaccine clinic reports after midnight to accurately capture the vaccination activities from the previous day. Having consistency in the timing of the reports was a critical component of providing accurate public health data to the Commonwealth.

The ODGA required a way to relieve the burden of manually generating reports from its employees while also scaling the automation to work in harmony with the internal data repository for integration with other high-value data assets.

Using UiPath’s RPA technology, the team configured a platform with robust automation capability that is scalable for the organization and able to address current and future analytic challenges. The RPA platform is especially beneficial for government organizations looking to scale on an enterprise-wide level. It alleviates much of the time spent on manual data transfer, transformation, and quality improvement, freeing up employees to complete more complicated critical thinking tasks. An automation was deployed to securely and automatically run on a scheduled basis without any user involvement, downloading the vaccine clinic reports, aggregating the data, and uploading it to the more extensive data repository.

RESULTS

Since implementing RPA, the ODGA has drastically reduced the number of hours needed to transfer the clinic reports, no longer requiring employees to work long into the night to provide accurate public health data. The automation also provided another level of data security by reducing the number of employees who accessed the sensitive data. The Chief Data Officer has also recognized other areas of opportunity for RPA implementation and has begun thinking about ways to scale the automation to help the department further.
